Editing Guide
This document provides guidance on the editing features of SHIELD Drive. The editing methods are divided into collaborative editing, where multiple users edit simultaneously in the web office, and app editing, where editing is done using locally installed Office apps.
1. Collaborative Editing
This is a feature that allows multiple users to edit documents simultaneously in the web office. You can edit directly in the browser and collaborate without installing separate programs.
Scope of Support
Collaborative editing is provided based on the type of storage and the type of office associated with it.
- Hancom Web Office: General NAS, S3 Storage (hwp, hwpx, ods, odp, odt, etc.)
- OOS (Office Online Server): General NAS, S3 storage (pptx, xlsx, docx)
- MS Web/App Co-Editing: OneDrive, SharePoint Storage (pptx, xlsx, docx)
- Google Web Co-Editing: Google Drive Storage (pptx, xlsx, docx)
The supported extensions and types of Office differ by storage type, and their usage is determined by administrator settings (company policies, storage policies).
How to use
- Select the file to edit.
- Selecting "Open in Web" will open the document in web office in the browser.
- The editing content is automatically saved, and multiple users can edit simultaneously.
Simultaneous Editing Guide
If another user opens a document that is being edited with the app, a notification will be displayed along with the information of the user who is editing, and it can only be viewed in read-only mode (web viewer or app).
2. App Editing
This is a feature that allows you to open and edit documents with the Office apps installed locally. Only one user can edit at a time, and the file is locked during editing. Other users can view it in read-only mode.
Options when opening the editor
When opening a file with "Open with app," it behaves as follows depending on the file's lock status.
- No Lock: Opens in edit mode in the local Office app.
- Another user is editing + has view permission: "This document is being edited by OOO in the local Office App. The file can only be used in read-only mode." You can choose between "Open in web viewer (read-only)" / "Open in App (read-only)".
- Another user is editing + no view permission: Only "Open with App (Read Only)" is provided.
- The file you were editing: Continuing with the existing edits.
2.1 Secure Storage App Editing
- Target: Secure Storage Method Storage
- Open Document: After selecting a file, choosing "Open with app" will open it in edit mode in the local Office app.
- Concurrent editing control: If another user is editing, the above selection guide will be displayed, and it can only be viewed in read-only mode (app or web viewer).
- Save: When saved in the app, changes are automatically reflected, and version control is supported.
2.2 General Storage (NAS) App Editing
Documents in general storage (NAS) can also use app editing.
- Provisioning Conditions: It is only provided for general storage (NAS) storage registered with the protocol SFTP during storage registration. It is not provided for storage registered with WEBDAV.
- Open: After selecting a file, choosing "Open with app" will open it in edit mode in the local Office app.
- Simultaneous editing control: If another user is editing, a prompt "Would you like to open in read-only mode?" will be displayed, and if opened, the app will open in read-only mode. The currently editing user will also be displayed. When the editor closes the file, it will switch to editable mode.
- Save: When saved in the app, changes are automatically reflected in the original NAS path.
Precautions
- It usually takes about 3 to 4 minutes for the lock to be released after the previous user has finished editing, and it may take longer depending on the actual NAS access situation.
- Protection of the original during editing is provided at the "Editing Overwrite Protection" level only for supported NAS. Overwrites, deletions, and moves accessed directly on the NAS (File Station, SMB, etc.) are not blocked.
- If a file is deleted, you can upload a new file to the same path in SHIELD Drive.
